The Elite Job is seeking a highly organized and proactive Remote Virtual Office Coordinator to support the efficient operation of our virtual office environment. Key Responsibilities:

  • Serve as the primary point of contact for internal teams, clients, and external stakeholders.

  • Manage virtual calendars, schedule meetings, and coordinate appointments across multiple time zones.

  • Handle email correspondence, follow-ups, and documentation with accuracy and professionalism.

  • Maintain digital filing systems, records, and databases ensuring up-to-date and organized information.

  • Assist with onboarding new team members and provide remote administrative support.

  • Prepare reports, presentations, and other documentation as needed.

  • Support project coordination, tracking deadlines, and monitoring deliverables.

  • Troubleshoot basic technical issues related to virtual office tools and platforms.

  • Ensure confidentiality and security of sensitive company and client information.

Required Skills and Qualifications:

  • Proven experience in virtual office management, administrative support, or similar roles.

  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Zoom, Teams, Slack, Google Workspace).

  • Excellent written and verbal communication skills.

  • Exceptional organizational and multitasking abilities.

  • Strong attention to detail and commitment to accuracy.

  • Ability to work independently with minimal supervision while remaining proactive and solution-oriented.

Experience:

  • 2–4 years of experience in virtual office coordination, administrative support, or project coordination preferred.

  • Experience in remote team management or supporting distributed teams is highly desirable.

Working Hours:

  • Flexible remote work schedule with core hours from 10:00 AM to 6:00 PM (your local time zone).

  • Some occasional meetings outside core hours may be required depending on project needs.

Knowledge, Skills, and Abilities:

  • Strong problem-solving and critical thinking skills.

  • Ability to prioritize tasks efficiently and manage multiple deadlines.

  • Proficient in digital communication etiquette and remote collaboration best practices.
