As a Virtual Admin Coordinator, you will be responsible for coordinating schedules, managing communications, supporting project management tasks, and streamlining administrative processes to ensure the organization runs efficiently and effectively.
Key Responsibilities:
Manage executive calendars, schedule meetings, and coordinate global team communications.
Organize and maintain digital files, documents, and project records for easy access.
Assist with preparation of reports, presentations, and operational documentation.
Coordinate cross-functional projects, track deadlines, and follow up with relevant stakeholders.
Respond to internal and external inquiries professionally and promptly.
Implement and improve administrative processes to optimize workflow efficiency.
Facilitate virtual meetings, including agenda preparation, minute-taking, and follow-ups.
Support HR, finance, and operations teams as required.
Ensure confidentiality and security of sensitive information.
Required Skills and Qualifications:
Proven experience as an administrative coordinator, executive assistant, or similar role in a global/remote setting.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Excellent written and verbal communication skills in English.
Exceptional organizational and time management skills.
Ability to handle multiple priorities and work independently with minimal supervision.
Familiarity with project management tools (Asana, Trello, or Monday.com) is a plus.
Experience:
Minimum 2–4 years of experience in administrative support, executive assistance, or office coordination.
Experience working with international teams or remote operations is highly desirable.
Working Hours:
