Job Summary

Key Responsibilities

  • Coordinate and oversee administrative activities to ensure seamless project operations.

  • Prepare, review, and manage project-related correspondence, reports, and documentation.

  • Maintain accurate records, databases, and filing systems in line with government requirements.

  • Monitor project timelines, track deliverables, and assist with scheduling and meeting coordination.

  • Liaise with government officials, contractors, and other stakeholders to ensure compliance and alignment with project objectives.

  • Manage procurement processes, including sourcing, vendor communication, and record-keeping.

  • Support financial administration tasks such as invoice processing, expense tracking, and budget monitoring.

  • Handle inquiries, provide information, and ensure excellent communication across all project partners.

  • Assist in drafting policies, procedures, and compliance documentation required for the government project.

  • Provide general office support, including correspondence, travel arrangements, and logistical support for meetings/events.

Required Skills and Qualifications

  • Bachelors degree in Business Administration, Public Administration, Management, or related field.

  • Proven ability to manage multiple priorities in a fast-paced environment.

  • Excellent verbal and written communication skills.

  • Strong organizational and time management abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and database management.

  • High level of integrity, confidentiality, and professionalism.

  • Ability to work independently with minimal supervision and collaboratively in a team environment.

Experience

  • Minimum of 3–5 years of relevant administrative experience, preferably within government projects, NGOs, or large corporate organizations.

  • Demonstrated experience in coordinating complex projects and managing compliance requirements.

  • Prior exposure to government protocols, procurement processes, or public-sector project administration is an advantage.

Working Hours

  • Full-time position, Monday to Friday.

  • Standard working hours: 9:00 AM – 5:00 PM (flexibility may be required depending on project needs).

  • Familiarity with government project management frameworks and compliance standards.
