Job Summary
The Elite Job is seeking a highly organized and proactive Administrative Coordinator to support our healthcare NGO operations. This role is central to ensuring smooth administrative processes, efficient coordination across teams, and effective communication with internal and external stakeholders. The Administrative Coordinator will play a key role in managing office functions, maintaining accurate records, and supporting program activities that improve access to healthcare for underserved communities.
Key Responsibilities
Provide day-to-day administrative support to the NGOs healthcare programs and leadership team.
Coordinate scheduling, prepare meeting agendas, take minutes, and follow up on action items.
Maintain accurate records, databases, and filing systems in compliance with organizational and donor requirements.
Assist in preparing reports, correspondence, and presentations.
Support budgeting, procurement, and expense tracking to ensure financial accountability.
Serve as a point of contact for internal staff, partner organizations, and external stakeholders.
Organize logistics for training sessions, community outreach events, and program-related activities.
Monitor office supplies, equipment, and resources to ensure smooth operations.
Uphold confidentiality, professionalism, and compliance with healthcare NGO standards and policies.
Required Skills and Qualifications
Bachelors degree in Business Administration, Public Administration, Nonprofit Management, or a related field.
Excellent organizational and time-management skills with the ability to prioritize tasks.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and database management systems.
High level of accuracy and attention to detail.
Ability to handle sensitive information with integrity and confidentiality.
Strong interpersonal skills and the ability to work collaboratively across teams.
Experience
Minimum of 2–3 years of administrative or coordination experience, preferably in the healthcare or nonprofit sector.
Experience supporting program management, donor relations, or community engagement is highly desirable.
Working Hours
Full-time position (40 hours per week).
Standard office hours, Monday to Friday, with occasional flexibility required for events or urgent program needs.
Knowledge, Skills, and Abilities
Knowledge of healthcare NGO operations and program delivery frameworks is an advantage.
Familiarity with donor reporting requirements and project documentation.
Ability to work under pressure, manage multiple priorities, and meet deadlines.
