Job Summary

The Elite Job is seeking a detail-oriented and proactive Administrative Clerk to support daily operations within a dynamic engineering firm. Key Responsibilities

  • Provide comprehensive administrative support to engineering and management teams.

  • Prepare, maintain, and update records, reports, and documentation with accuracy.

  • Manage incoming and outgoing correspondence, including emails, phone calls, and mail.

  • Organize and maintain filing systems, both electronic and physical.

  • Coordinate schedules, meetings, and appointments.

  • Assist with data entry, invoice processing, and basic financial recordkeeping.

  • Support project documentation, including preparing reports, tracking deadlines, and ensuring compliance with company policies.

  • Collaborate with internal departments to facilitate smooth workflows.

  • Perform general office duties such as photocopying, scanning, and ordering supplies.

Required Skills and Qualifications

  • High school diploma or equivalent; additional certification in Office Administration or related field is a plus.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Strong written and verbal communication skills.

  • Excellent organizational and multitasking abilities.

  • Attention to detail and a high degree of accuracy in work.

  • Ability to maintain confidentiality and handle sensitive information.

  • Problem-solving skills and a proactive approach to daily tasks.

Experience

  • Minimum of 2 years of experience in an administrative or clerical role, preferably within an engineering, construction, or technical firm.

  • Experience in handling office management systems, databases, and reporting tools will be an advantage.

Working Hours

  • Full-time, Monday to Friday.

  • Standard office hours: 9:00 AM – 5:00 PM (with occasional flexibility required to meet project deadlines).

Knowledge, Skills, and Abilities

  • Knowledge of office management procedures and record-keeping practices.

  • Familiarity with engineering terminology and project documentation (preferred, but not required).

  • Ability to work independently with minimal supervision and collaboratively within a team.

  • Strong interpersonal skills to interact effectively with staff, clients, and external partners.
